(“DATERRA”, “we”, “us” or “our”), located at Rua Professor AbÃlio Moniz Barreto, 31, 1º Dto, 2500-241 Caldas da Rainha, VAT Nº 516957260. DATERRA is the data controller responsible for your personal data.

In the course of your registration for the EuroTech Day event, we collect the following personal data through our registration form:

- VAT number (for invoicing)
- Sector of activity
- Billing information (Name, full address, VAT number), if different from your registration details.
- Information regarding dietary restrictions (provided on an optional basis).
3. Registration Tier Conditions
Registration and access to the event are determined by the ticket tier purchased, which outlines the benefits included.
- “Student” and “Standard” Tiers: Include access to the event during the morning, lunch, the afternoon programme, and a participant kit.
- “Student” Tier: This registration is personal, non-transferable, and exclusively for undergraduate, Master’s, or PhD students. The organiser reserves the right to request a valid proof of enrolment upon entry to the event. If this is not presented, payment for the price difference to the “Standard” ticket may be requested.
- “Premium” Tier: Includes all the benefits of the “Standard” ticket, plus a guided tour of Quinta da Pacheca, followed by a wine tasting and a networking session.
It will not be possible to upgrade a ticket to a higher tier (for example, from “Student” to “Premium”, or from “Standard” to “Premium”) on the day of the event. However, should the organiser allow it on the day, they reserve the right to charge the upgrade fee for the “Premium” tier at the fixed price in effect at that time.
4. How and Why We Use Your Data
Your data is used for the following purposes:
- To manage your registration and participation in the event: Your name, company, title, and contact details are necessary to process your registration, issue your ticket, and send you essential communications regarding the event’s logistics and programme.
- For billing purposes: Your name, VAT number, and billing address are required to issue a legally compliant invoice.
- For statistical and organisational purposes:Â Your sector of activity helps us to better understand our audience profile and tailor the event’s content.
- For marketing purposes (only with your consent): If you actively opt-in to our newsletter or to receive marketing communications, we will use your email to send you information about future DATERRA events and initiatives.
- To ensure your safety and well-being during the event: Should you voluntarily provide information on dietary restrictions, this data will be used solely and exclusively to coordinate with our catering service to provide a safe and suitable meal option for you.
5. Legal Basis for Processing Data
The processing of your data for registration and billing is based on the performance of a contract (your participation in the event) and for compliance with legal obligations. The processing of data for marketing purposes is based on your explicit consent, which you may withdraw at any time.
6. Data Sharing with Third Parties
DATERRA does not share your personal data with third parties for marketing purposes.
- Data Processors: Registration data is collected and processed via the Google Forms platform, a service of Google, LLC., which acts as our data processor under appropriate security measures. Information on dietary restrictions may be shared in an aggregated and anonymous format with our catering partner, for meal planning purposes only.
- Legal Obligations: Data may be shared with legal or tax authorities where required by law.
7. Data Retention Period
Data collected for billing purposes will be retained for the legally required period (currently 10 years in Portugal). Data for event management will be retained for up to 1 year after the event. Data for marketing purposes will be retained until you withdraw your consent.
Sensitive data (dietary restrictions) will be securely deleted immediately after the conclusion of the event.
